1. Acceptance of Terms
By creating an account and using SEND Parent CoPilot ("the app", "the service"), you agree to be bound by these Terms of Use. If you do not agree to these terms, please do not use the app.

2. Eligibility
The app is intended for parents, carers and guardians of children with Special Educational Needs and Disabilities (SEND) in the United Kingdom. You must be at least 18 years old to create an account.

3. Your Account
You are responsible for maintaining the confidentiality of your login details and for all activity under your account. You agree to provide accurate information when registering and to keep your information up to date.

4. The Service
SEND Parent CoPilot provides tools to help parents manage their SEND journey, including an AI CoPilot, Evidence Builder, Document Vault, Daily Diary, Meeting Prep, Community, Funding Finder, Knowledge Hub and SEND Rights guidance.
The app is grounded in UK SEND legislation, but it does not constitute legal, medical or professional advice. You should always seek appropriate professional advice for your specific circumstances.

5. AI-Generated Content
Content generated by the AI CoPilot and Evidence Builder is produced based on the information you provide. While we strive for accuracy, AI-generated content may contain errors. You are responsible for reviewing and verifying any generated content before relying on it or submitting it to any authority.

6. Subscriptions and Payments
The app offers subscription plans: Standard (£2.99/month), Plus (£4.99/month) and Premium (£8.99/month). Subscriptions renew monthly until cancelled.
You can cancel your subscription at any time. Cancellation takes effect at the end of the current billing period. Prices may change; we will notify you in advance of any price changes affecting your subscription.

7. Acceptable Use & Community Guidelines
By using the community features (posts, comments, images and direct messages), you agree to follow these Community Guidelines. All content is moderated by AI before publishing, and may also be reviewed by human moderators.

7.1 Protecting Children's Privacy (Highest Priority)
You must not post:

Children's full names combined with identifying information.

School names alongside children's names.

Home addresses, phone numbers, or email addresses.

Dates of birth, NHS numbers, EHCP reference numbers, or medical record numbers.

Photos of official documents containing personal information (EHCPs, medical reports, tribunal paperwork).

Photos showing children's school uniforms with identifiable logos (unless blurred).
-
Photos showing passports, birth certificates, or legal documents.
If personal information is detected, your post will be blocked with the message: "This post may contain personal information about a child. Please remove identifying information before posting."

7.2 Community Behaviour
The following are strictly prohibited:

Bullying, harassment, or personal attacks.

Hate speech, racism, sexism, homophobia, transphobia, or ableism.

Threats of any kind.

Swearing directed at another person.
-
Trolling or deliberately disruptive behaviour.
Expressing frustration about systems or institutions is permitted (e.g. "The council are useless"). Naming and attacking specific individuals is not (e.g. "Sarah Jones at X School is an idiot").

7.3 No Naming and Shaming Professionals
You must not name and shame specific professionals (e.g. teachers, SENCOs, social workers, doctors). General statements about your experience are permitted (e.g. "My SENCO has been difficult to work with").

7.4 Misinformation
You must not present false information as fact. Borderline content will be published with the notice: "Information shared by community members should not be considered legal or professional advice."

7.5 Medical Advice
Dangerous medical advice is prohibited, including advising others to stop medication or ignore professional medical guidance. Always encourage others to discuss treatment changes with a healthcare professional.

7.6 Legal Advice
Discussion of SEND law is welcomed, but you must not present yourself as giving official legal advice. Sharing personal experience ("This worked for us") is permitted; claiming legal authority ("You legally have to sue the council") is not.

7.7 Crisis Support
If the AI detects crisis language in your post or message, support resources will be displayed automatically, including Samaritans (116 123), SHOUT (text 85258), and emergency services (999). Your wellbeing matters to us.

7.8 Image and Document Moderation
All uploaded images are scanned by AI. The following are prohibited in images:

Nudity or sexual content.

Violence, blood, or gore.
-
Weapons, drugs, or illegal activity.
-
Hate symbols.
-
Children's faces (unless blurred).
-
Documents containing personal information (names, addresses, NHS numbers, school names, email addresses, phone numbers).
If a document upload is detected as containing personal information, you will be prompted: "Your document contains personal information. Please delete all sensitive information before posting."

7.9 Spam and Advertising
The following are prohibited: MLM posts, affiliate links, gambling content, cryptocurrency promotions, fake charities, bot-like activity, repeated posting, and any advertising without prior permission from a moderator or admin.

7.10 Direct Messages
Direct messages are also moderated. The following are strictly prohibited in DMs: grooming, sexual messages, harassment, blackmail, sharing personal data, requests for children's photos, and financial scams. Users can block, report, or mute other users. DMs can be disabled entirely in your settings.

7.11 Enforcement and Consequences
Any breach of these Community Guidelines may result in:

Immediate removal of the offending content.
-
Suspension or permanent cancellation of your membership with no refund.
-
Reporting to the relevant authorities, including but not limited to: law enforcement (where illegal activity is detected), safeguarding authorities (where child protection concerns are identified), and other regulatory bodies as appropriate.
Serious breaches — particularly those involving child safety, grooming, threats, or illegal content — will be reported to the appropriate UK authorities immediately.

7.12 Important Notice
Community content reflects users' personal experiences and opinions. It is not a substitute for professional legal, medical, or educational advice. Always consult a qualified professional for your specific circumstances.
These safeguards are designed to comply with UK GDPR, the UK Online Safety Act, and app store review requirements. Every family's journey is different — please be respectful.

7.13 Child Safety
This app is designed exclusively for parents, carers and guardians. It is not for use by children. To protect children's safety:

You must be at least 18 years old to create an account (see Section 2).

You must not use the app to arrange meetings with children or facilitate contact between adults and children through the platform.

Requests for photographs of children are strictly prohibited and will result in immediate account termination.

Grooming, inappropriate contact, or any behaviour that could pose a risk to a child is strictly prohibited and will be reported to the relevant authorities immediately.

Suspicious behaviour should be reported via the in-app reporting tools or by contacting us directly.
Safeguarding Concerns
We take safeguarding concerns extremely seriously. If we identify or receive a report of behaviour that poses a risk to a child, we will:

Immediately suspend the relevant account and remove the content.

Report the matter to the appropriate UK authorities, including the police and local safeguarding teams.

Preserve evidence as required by law and cooperate fully with investigations.
If you believe a child is in immediate danger, call 999. For non-emergency safeguarding concerns, contact the NSPCC on 0808 800 5000.

8. Your Content
You retain ownership of all content you create or upload to the app, including child profiles, diary entries, documents and community posts. You grant us a limited licence to process your content solely to provide the service to you.

9. Data Deletion on Cancellation
If you cancel your subscription, you will have a grace period to download your data. After the grace period expires, all personal data associated with your account will be permanently deleted in compliance with the UK GDPR. You are responsible for downloading any data you wish to keep before cancellation takes effect.

10. Intellectual Property
The app, its design, features and content (excluding your uploaded content) are owned by SEND Parent CoPilot and protected by intellectual property laws. You may not copy, modify or distribute any part of the app without our permission.

11. Disclaimers
The app is provided "as is" without warranties of any kind. We do not guarantee that the app will be uninterrupted or error-free. To the maximum extent permitted by law, we are not liable for any indirect or consequential losses arising from your use of the app.

12. Limitation of Liability
To the extent permitted by law, our total liability for any claim arising from your use of the app is limited to the amount you have paid us in the 12 months preceding the claim.

13. Governing Law
These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

14. Changes to These Terms
We may update these Terms of Use from time to time. We will notify you of significant changes through the app or by email. Continued use of the app after changes constitutes acceptance of the updated terms.
